Decommissioning of ownCloud

The“ownCloud” is going to be decommissioned until the 30.06.2019, according to the current state of planning. By that time, you should have saved your files from your ownCloud and deleted it. In the following, we are going to give some remarks on how to transfer your files from ownCloud into the Collaboration Cloud:

Data Transfer

An automatic conversion of your files can not be executed by the university computing centre at a reasonable expense. This is due to the files being encrypted. If you want to use the subsequent system, you need to transfer your data into the new system. To do so, you need to follow these steps:

Files

If you did not already use a desktop client, you should proceed as follows:

  • Install the desktop client. You can find it in the network system of computers and via the Webfiler under
    • JADE-HS - Daten (X:) / HRZ-Support / Collaboration Cloud
  • Synchronise both systems onto your local system:
  • Cloudstorage environment:
  • Collaboration Cloud:
    • Within the desktop client, go to Einstellungen / Benutzerkonto / Neues Konto hinzufügen (ENG: “Settings / User Account / Add New Account”)
    • Serveraddress: https://ccs.jade-hs.de
    • Username/ Password: Standard Login (form: ma1150)
    • Local Folder: Nextcloud (e.g.: C:\Users\<Your Username>\Nextcloud)
  • Move (Do not copy!) your files in the file manager from the folder “ownCloud” to the folder “Nextcloud”
  • Remove the old system owncloud.jade-hs.de in your desktop client

If you already use the desktop client for local synchronisation, you should proceed as follows:

  • Find the folder, in which the Cloudstorage environment gets locally synchronised (e.g.: C:\Users\<Your Username>\ownCloud)
  • Synchronise the Collaboration CLoud on your local system, too:
    • Within the desktop client, go to Einstellungen / Benutzerkonto / Neues Konto hinzufügen (ENG: “Settings / User Account / Add New Account”)
    • Serveraddress: https://ccs.jade-hs.de
    • Username/ Password: Standard Login (form: ma1150)
    • Local Folder: Nextcloud (e.g.: C:\Users\<Your Username>\Nextcloud)
  • Move (Do not copy!) your files in the file manager from the folder “ownCloud” to the folder “Nextcloud”
  • Remove the old system owncloud.jade-hs.de in your desktop client

Calendar

To transfer your calendar, you should proceed as follows:

  • Export from the Cloudstorage environment:
    • In the webbrowser, log into the Cloudstorage environment under https://owncloud.jade-hs.de
    • Click on “Kalender” (ENG: “Calendar”) in the top left
    • In the left menu, click on the three dots next to your calendar and select “Herunterladen” (ENG: “Download”). Locally save the file.
  • Import into the Collaboration Cloud:
    • In the webbrowser, log into the Collaboration Cloud under https://ccs.jade-hs.de
    • Navigate to the top and click on the app “Kalender” (ENG: “Calendar”). It might be neccessary for you to activate this app, first.
    • Click on “Einstellungen & Import” (ENG: “Settings & Import”) in the bottom left
    • Click the button “Kalender importieren” (ENG: “Import Calendar”) and select the previously saved file.

Contacts

To transfer your contacts, you should proceed as follows:

  • Export from the Cloudstorage Umgebung:
    • In the webbrowser, log into the Cloudstorage environment under https://owncloud.jade-hs.de
    • Click on the app “Kontakte” (ENG: “Contacts”) in the top left
    • Click on “Einstellungen” (ENG: “Settings”) in the bottom left
    • Click on the “Herunterladen” (ENG: “Download”) symbol and locally save the file
  • Import into the Collaboration Cloud:
    • In the webbrowser, log into the Collaboration Cloud under https://ccs.jade-hs.de
    • Navigate to the top and click on the app “Kontakte” (ENG: “Contacts”). It might be neccessarsy for you to activate this app, first.
    • Click on “Einstellungen” (ENG: “Settings”) in the bottom left
    • Click on the button “Importieren nach” (ENG: “Import to”) and select the previously saved file.

Important Remarks / FAQ

  • Because your files are being encrypted on the ownCloud server, you need to type in your new password into the ownCloud web surface after every password change, in order to update the encryption. To do so, please log in under https://owncloud.jade-hs.de and follow the instructions.
  • Error warning “Für folgende Benutzer ist keine Verschlüsselung eingerichtet: ab1234”: (ENG: “There is no encryption set up for the following user: ab1234”:) If this message appears during your try to share folders or files, the respective users need to activate their ownCloud user account once under auf https://owncloud.jade-hs.de
  • Error warning “Ungültiger privater Schlüssel…”: (ENG: “Invalid private key”:) After login under https://owncloud.jade-hs.de , this error warning appears: “Ungültiger privater Schlüssel für die Verschlüsselungs-App. Bitte aktualisieren Sie Ihr privates Schlüsselpasswort, um den Zugriff auf Ihre verschlüsselten Dateien wiederherzustellen.” (ENG: “Invalid private key for the encryption application. Please update your private key password, in order to resrote access to your encrypted files.”) This error appears when you change your password. Please navigate to thetop right and click on your name. Then select the menu item “Persönlich” (ENG: “Private/Personal”) and the settings for the basic encryption module: https://owncloud.jade-hs.de/index.php/settings/personal#owncloud-basisverschl%C3%BCsselungsmodul. Here you need to enter your old and new password.
